Been out to Vegas and done BS several times, but have never been the person responsible for coordinating the event. That all changes on my trip planned for later this year, so I was hoping to get some thoughts on when the appropriate time to contact a host is in preparation for a trip to Vegas. I am sure it probably depends a little on venue and who is appearing on the night, but wanted some general thoughts. Was thinking maybe 2 weeks in advance? Any help is appreciated.

I think 2 weeks sounds about right. When you contact a host doesn't matter all too much. It's really all about your minimum spend. You can make a reservation for X amounts of dollars minimum spend, but be aware that the earlier you reach out the hosts, the more time there is for minimums to change depending on dates you inquire about. This doesnt happen often with the good hosts, but just something to keep in mind. And a good host will always let you know ahead of time if the demand is higher and your minimum needs to be raised or work out another deal.
Honestly wouldn't make a difference if you reach out a month advance, two weeks, or two nights before. as always, the $ youre willing to spend talks a lot more than anything else.

Thanks for the replies. Ya, I am aware I could get booted if demand increases, just wanted to get an idea of when to start discussions. Just don't want to start too late and have to bid to bump someone else. Not going on a holiday weekend, so hopefully that makes things at least a bit easier.

I have always reached out to hosts about 1 week in advance. Never had any issues at places like XS, 1OAK, Surrender, etc. I've also had one or two last minute times - for example a couple years ago we didn't have plans for a Saturday night, reached out to Chad Noyes for a table at one of the Palms clubs at around 8pm. He was able to set me up with a dance floor table at Moon for a low min.

people have their tables bumped because they show up too late and all that's left are minimums higher than theirs and they aren't willing to pay the new amount. or they showed up too late and all the tables are sat. you can't really outbid someone days before and have them be bumped or them you because tables aren't assigned until you check in that night at the venue. exceptions are pre-paid tables and the big spenders who have preferred tables and the venue knows they're coming that night, those tables are held for them. lots of tables are booked the day of. when venues oversell tables it's first come first serve for the smaller mins.Originally posted by ponch62 View PostThanks for the replies. I've booked a table for 15 at Tryst (a Thursday night) and know we won't get there till about 11:30 and asked host (who's been great to work with) if I can place deposit to lock in table. He said its all just verbal agreement. I did mention when we will arrive and he said it's fine but I will not be wanting to hear any stories that night just in case it happens to get super busy.
Anything else I can do to make sure I keep my table?

Since you have 15 people, I'll assume that you have a relatively high min for a Thursday at Tryst. They also usually don't sell out on Thursdays. You should be fine.
